Job Description

About the opportunity:
We require a highly motivated Competitions Administrator to provide administrative support our world class competitions on a 3 month fixed term contract from July to October. This role would be responsible for delivering administrative support that will underpin and enhance the integrity of our competitions, review our processes to improve efficiency and effectiveness and deliver superior exhibitor service and experience. 

Working alongside a highly experienced team of Event Coordinators and Managers, this opportunity will support across the full portfolio of Show Competitions including Livestock - Alpaca, Beef Cattle, Beef Carcass, Sheep, Fleece, Dairy, Art, Craft and Cookery, Poultry, Woodchop and Youth Programs.

Key responsibilities:
Provide a broad range of administrative support services predominately in your main competition areas in addition, across the Competitions team when required.  

Key tasks includes:

  • CRM database management and integrity which includes processing competition entries and results including data entry and checking of validity
  • Input exhibitor, judge, steward and sponsor details and results, general data maintenance including updating: classes and judging panels etc. into our CRM database
  • Generate and format competition program documents within prescribed timeframes, including; schedules, entry forms, exhibitor information, catalogues and results catalogues.
  • Preparation of standard documents such as; reports, presentations and correspondence.
  • Generate reports to ensure prize monies are processed and paid 
  • Procurement support, including obtaining quotes and completing purchase orders as required
  • Liaise with competition stakeholders and attend to telephone and email enquiries
  • Assist with the administration and delivery of competitions on the ground during events.

Desired Skills and Experience

Key competencies of the role:
We are seeking candidates who are pleasant, courteous, highly professional and able to interact with diverse stakeholders.  It is essential that candidates have experience working in an administrative role, experience with the Microsoft Office suite including Word, Excel, Outlook and PowerPoint as well as a CRM/database. 

Being able to prioritise and manage multiple work tasks and deliver to agreed deadlines, work independently with limited supervision and have a high attention to detail will ensure you succeed in the role.

You must be available to work the full 11 days of Melbourne Royal Show and hold a valid Working With Children's Check.
