Job Description

We require a highly motivated, process driven Event Planner who is responsible for assisting with the planning and organising of events run by external clients of Melbourne Showgrounds. We’re on the lookout for a multitasker who thrives on challenges and providing a solution focused approach to our clients and stakeholders. 

With the Melbourne Showgrounds being an amazing canvas, our clients transform our spaces from board meetings to gala dinners, conferences to trade shows, music festivals and everything in between. There is never a dull moment!

In this role you will also be a part of the fun and excitement of the Melbourne Royal Show. For 11 days in September every year, it’s all hands-on deck to help deliver the biggest event in our calendar. You will assist during move in, support the internal events team at our functions, but you will always find time to watch the wood chopping, go on the dodgems and see the latest entertainment on the main stage.

This role is predominantly Monday – Friday with standard office hours. Occasional weekend or evening work is required and managed accordingly.
 

Key responsibilities:

  • Quickly establish rapport, manage and promote strong and effective relationships with clients, the team and key stakeholders
  • Be the central liaison point between the client and Melbourne Showgrounds departments during the event planning phase, capturing all information thoroughly on the event plan
  • Plan the events to ensure that all operational elements, including catering, AV, cleaning, parking and security are conducted in a seamless manner and in accordance with client/stakeholder and Melbourne Royal expectations
  • Conduct site inspections, pre-event meetings and post event debriefs
  • Ensure weekly reports, invoices, sign off processes and checklists are completed in a timely manner
  • Assist in the management of client contractors, ensuring best practice is delivered in all stages 
  • Work with the OHS Manager to ensure risk and safety documentation including operating procedures and processes are submitted
  • Work closely with the marketing team to ensure appropriate marketing collateral and communication plans are developed as required.
     

Desired Skills and Experience

We are seeking candidates who have proven event experience in a busy multi-purpose venue, an ability to coordinate the planning of multiple events at the same, as well as the capacity to hit the ground running. 

You will be results oriented with a strong focus on continuous improvement, have a high work ethic and be able to meet tight timeframes whilst working autonomously.

Being able to manage the unexpected and deliver to agreed deadlines, have sound and accurate judgment together with confident problem solving and decision-making skills will ensure you succeed in the role.

Knowledge of Momentus is ideal but not a requirement.
